Also make sure you have a glass of water to hand — interviews can be thirsty work! Raise your camera to head level to avoid looking down on the interviewer and to make it more natural — use a laptop stand, or a pile of books.
Within Microsoft Teams, turn off the box that shows you, this avoids distraction and too much self-consciousness and allows you to focus more fully on the interviewer and the questions. Once set up, check again for lighting — coming from in front of you.
If you wear glasses, try to position the lighting to remove any unwanted glare. This is a really important step. Test your setup. Do a dummy interview using Microsoft Teams with a friend. You can record it and watch it back to identify any adjustments you need to make. Test the audio, the video and internet speed. Does the background look ok?
How is your positioning? What about your body language? Try not to fidget or move your hands too much, this can be distracting, and can interfere with the microphone. Be prepared in advance. Ask the interviewer for a number to call, should you run into difficulty. Apologise, but make sure you proactively offer a solution — to call them and continue by telephone, or to reschedule. We recommend using Microsoft Teams for interviews, please see below best practice for setting this up. It is best practice to send separate invitations to the individual candidates and interview panel. Do offer all involved a trial call as some people may be more used to this format than others.
See this annotated screenshot of a sample interview schedule on MS Teams. This will ensure there will be no confusion. The candidate will only be able to access that meeting interview and they will not have access to the email addresses of those on the panel.
Candidates using a University of Oxford account will be able to bypass the virtual ‘lobby’ and access the meeting directly by clicking on the hyperlink.
Arrange with any internal candidates that they should be ready five minutes before the scheduled start time of their interview, but should wait for a call from the Chair or meeting organiser before clicking the link to join the call once the panel are ready to start.
Using microsoft teams for an interview –
This can reflect poorly on your organization and how seriously you are considering a candidate. This helps give a professional appearance that sets the tone for the interview and reflects on your entire team. Looking directly into the camera during the call can also help foster a sense of having a face-to-face connection. You need to give the candidate your entire focus. Clearing your desk of everything but note-taking materials can also help.
Even when both you and the candidate have strong internet connections, some lag and delay is inevitable. This can get confusing, especially when trying to ask follow-up questions or share your screen. Similarly, when screen sharing, wait a few seconds after loading an image, web page, or presentation slide to give it time to load for others on the call.
You never know when technology problems might happen. No matter how unlikely these things might seem, prepare a back-up plan. For example, rescheduling your Microsoft Teams interview for a later date or switching to a phone interview can keep you and the candidate from scrambling if something goes wrong.
That way, you can quickly set up a new interview time if needed. This way, you can resolve any issues before the call starts.
Microsoft Teams interviews can help streamline your interview process and make it easier to reach top candidates from across the country. By giving interviewees a quality video interview experience, you can level up your talent acquisition game. In any case, they will receive a notification in Microsoft Teams.
Most recruitment processes these days require the candidates to complete a case study, prepare an analysis, a presentation, or other types of tasks that would show their competence. This is where the screen sharing feature in Microsoft Teams comes in handy. After completing the assigned task, candidates can share their screen and present the work done in an interactive way.
Like this, they can highlight the most important things and allow the interviewer to easily follow their presentation. Similarly, by sharing your own screen, you can explain an assignment to the candidate or present them with any other information. To share your screen, simply click on Share on top right once you start the meeting. Then, you can choose between different presenter modes and what exact content you wish to share — all your screen or just specific windows.
You may want to keep some notes during the interview. For example, you can give details about the case study the interviewee will need to work on, share some links with them, or other information.
On the other hand, they may want to share their portfolio, or, say, a website. Meeting notes will be available for both parties before, during, and after the meeting. After the interview is over, you will see the meeting chat that will show all meetings interactions. Then, you may want to download the transcripts and then share them as a document in a dedicated channel with your recruitment team, if needed.
I know how to set up a meeting and invite external people but when I have tested this I can see that when and external person excited the meeting, they can rejoin. Is there a way i can prevent them rejoining at the end if the interview so they do not join during the next interview?
